Privacy Policy
DealerSkill ("DealerSkill", "we", "us") is a training platform that car dealerships use to help their employees practice real conversations, get coached by their managers, and track their progress. This policy explains what information we collect, how it is used, who can see it, and the choices you have.
Who is responsible for your information
DealerSkill is provided to dealerships (our "customers"), and accounts are created by invitation from a dealership. Your dealership decides who is invited, what roles people have, and how DealerSkill is used for training. We process your information to provide the service to your dealership and to you.
What we collect
- Account details: your name, work email address, and a password (stored securely by our authentication provider; we never see it). We also record your language preference and settings.
- Your dealership details: the dealership and store you belong to, your department, and your role (for example team member, trainer, manager or General Manager).
- Your profile: anything you choose to add, such as a photo, a short bio, your time in the car business, your goals, and a link to your LinkedIn profile.
- Practice videos ("takes"): the video and audio you record or upload, including walkarounds you film on your showroom floor, a thumbnail image, the reflections you write, and who you chose to share each take with.
- Coaching and progress: scores, sign-offs and written feedback from managers, lessons and quizzes you complete and their scores, badges, levels, XP, certificates, and rewards your dealership sets.
- Delivery stats: a transcript of your take and simple measurements such as speaking pace, filler words and pauses, created automatically to help you improve.
- AI practice conversations: the audio of your live practice with the AI customer is processed in real time to create the conversation, along with a transcript and AI feedback. See "AI practice" below.
- Chat and huddles: messages, photos, files and GIFs you send in DealerSkill chat, and the video huddles you join. Huddles are live calls; they are not recorded.
- LinkedIn, if you connect it: your LinkedIn name and member ID, and a sign-in token that lets DealerSkill post for you. We only post when you write a post and press Post, and you can disconnect at any time.
- Invitations: when a manager invites you by email, the email address they enter and the role and department they chose for you.
- Dealership account and billing (for our customers): the dealership's name, address, time zone, billing contact and payment records. Card and bank payments are handled by our payment provider; we never see full card or bank numbers.
- Technical information: basic logs needed to run and secure the service (for example sign-in times and errors).
We do not sell your personal information, we do not use it for advertising, and we do not track you across other apps or websites.
How we use it
- To run DealerSkill: storing your takes, showing your progress, delivering coaching, powering chat and huddles, and running AI practice.
- To send service emails, such as invitations from your dealership, account confirmation and password resets, alerts to managers when a take is waiting for review, and a Monday summary of the team's practice to General Managers, managers and trainers (each person can turn it off in Settings).
- To post to LinkedIn for you, only when you ask.
- To bill dealerships for their subscription.
- To keep the service secure and working, and to provide support to your dealership and to you.
- To improve DealerSkill using aggregated usage information (for example how many takes are recorded).
Who can see your information
- You can see everything in your own account.
- Your managers: the General Manager, managers and trainers at your dealership can see takes you share with them (a take set to "Just me" is not shared), your reflections, delivery stats, scores, quiz results, progress, goals, level and XP, so they can coach you.
- Your teammates can see takes you choose to share with the team, Hall of Fame takes, the leaderboard, and your profile card: your name, department, photo, bio, time in the business and LinkedIn link if you added them.
- Chat: people in a conversation can see its messages. Your dealership's General Manager and managers can read all chat conversations in your dealership. The app tells you this in chat.
- AI practice is private to you. Managers cannot see it. See "AI practice" below.
- Certificates and LinkedIn posts: if you share a certificate link or post to LinkedIn, anyone who sees it can see what you chose to share, such as your name, the section and the date it was earned.
- DealerSkill staff can access accounts and data only as needed to provide support, keep the service secure, investigate problems, or meet legal obligations. Access is limited to authorized DealerSkill personnel and is logged.
AI practice and automatic analysis
AI practice lets you have a live spoken conversation with an AI customer, including walking an AI customer around a vehicle. Your voice is sent in real time to our AI provider to understand what you say and generate the customer's replies, and a transcript is used to give you feedback. These conversations are private to you: they are never sent to your managers or used to score you. If you don't save a conversation, its transcript and feedback are deleted after about an hour; if you save it, it stays in your practice log until you delete it.
Sky, the DealerSkill assistant: when you ask Sky a question, by typing or by voice, your question, the page you're on, your first name, role, department and dealership, and the relevant training material are sent to our AI provider to produce the answer. Voice conversations are processed in real time. We don't store what you ask Sky or what Sky answers: the conversation stays in your browser until you close the tab or start a new chat, and it isn't shared with your managers. We record only how many questions you asked and how many voice seconds you used each day, to apply the daily limits. Please don't share customers' personal information with Sky.
Delivery stats on your takes are produced by automatic transcription. They are practice aids only. Your manager's review is the official evaluation of a take, and DealerSkill does not make employment decisions.
Cookies and similar technologies
DealerSkill does not use advertising cookies, analytics trackers or cross-site tracking. We use your browser's storage only for things the service needs or that you choose:
- Staying signed in: your sign-in session is kept in your browser so you don't have to sign in on every visit.
- Your settings: choices such as light or dark mode, language, practice settings and the screen you were on.
- Invitations: the invite code from your invitation link, so you can finish joining your team after confirming your email.
Because these are needed for the service to work or only remember your own choices, they don't require a consent banner. You can clear them at any time in your browser settings; you'll be signed out and your preferences will reset.
Some parts of the site load from other providers. Your browser contacts them directly, which shares basic technical information such as your IP address and browser type:
- Google Fonts and jsDelivr deliver the fonts and icons.
- Calendly runs the demo booking page for dealerships interested in DealerSkill. Calendly sets its own cookies on that page and handles the details you enter there under its own privacy policy.
Service providers
We use a small number of trusted service providers to run DealerSkill: to host the app, its data and your videos; to send email; to power AI practice, feedback and transcription; to run video huddles and GIF search; to process dealership payments; and to post to LinkedIn when you ask. They may use your information only to provide their service to us, following our instructions and their contracts with us. Our AI provider does not use your information to train its models. We never sell your information to anyone. A list of our current providers is available on request.
Retention and deletion
- You can delete any take, and you can delete your account at any time from Settings → Delete account. Deleting your account permanently removes your profile, takes and videos, reflections, feedback, progress, LinkedIn connection and your team membership.
- Unsaved AI practice conversations are cleared after about an hour.
- If your dealership removes you or ends its subscription, your access ends. Your dealership can ask us to delete its data.
- Backup copies held by our hosting provider are overwritten on a rolling basis.
Security
Data is encrypted in transit, access is controlled by role, and every table is protected by row-level security so people only see what their role allows. No system is perfectly secure, but we work hard to protect your information.
Your rights
Depending on where you live, you may have the right to access, correct, export or delete your information, or to object to certain processing. Many of these you can do yourself in the app. For anything else, contact us at support@dealerskill.com. If your request relates to your dealership's use of DealerSkill, we may work with your dealership to respond.
Age
DealerSkill is for working adults aged 18 and over. We do not knowingly collect information from anyone under 18.
Changes
We will post updates on this page and, for significant changes, let you know in the app.
